Instructions with checklist for collecting data
This checklist is intended to help you prepare your data. You fill in the tool for one performance/show on one specific date.
The more data you can provide, the more accurate the calculation will be. Data that you do not have available will be pre-filled based on averages from the studies at NDT, FOMU, and desk research.
Note: the tool only works properly when 'enable macros' is correctly set within Excel. In the 'Help Enable Macros' tab in the tool, you will find instructions for this.
Input fields with required data
General Information
- Name and date of the performance
- Area of the theater and backstage spaces in m²
- Number of physical visitors in the venue and number of artists/cast/performers/musicians
- Number of members of the artistic team and number of crew members (excluding camera operators for recording)
- Duration of the performance including audience entry time in hours
- Total number of online visitors (Streaming and/or video-on-demand)
Energy - Building
- Electricity usage during the event, if known, in kWh.
- Type of electricity: choose from Grey electricity/Green electricity/Energy mix.
- Gas usage for heating, if known, in m³/GJ.
- Type of heating: Natural gas/Green gas/District heating.
Mobility - Visitors
- Distances are based on round trips (to the venue and back home).
- Total distance traveled by visitors using public transport, in kilometers.
- Total distance traveled by visitors by bike and/or on foot, in kilometers.
- Total distance traveled by visitors by car, in kilometers.
- Did any visitors travel by plane to attend the performance?
- Airplane kilometers traveled by visitors.
Mobility - Artists
- Distances are based on round trips (to the venue and back home).
- Total distance traveled by artists using public transport, in kilometers.
- Total distance traveled by artists by bike and/or on foot, in kilometers.
- Total distance traveled by artists by car, in kilometers.
- Airplane kilometers traveled by artists.
- How many performances does the artist ensemble perform during this period?
Mobility - Artistic team and crew (including streaming)
- Number of kilometers traveled by the crew using public transport
- Number of kilometers traveled by the crew by bike or on foot
- Number of kilometers traveled by the crew by car
Materials
- Is the stage set used for the performance large, medium, or small?
- Number of times the stage set is reused.
- Number of costumes used.
- Number of times the costumes are reused for different performances/shows.
- Total number of kilometers traveled to bring the stage set and costumes to the theater.
- Transportation of materials by trailer in ton-kilometers (3 tons moved over 2 kilometers equals 6 ton-kilometers).
- Transportation of materials by van in ton-kilometers (3 tons moved over 2 kilometers equals 6 ton-kilometers).
Equipment for recording/streaming
- How many crew members/camera operators are specifically present for the recording/live stream?
- How many cameras are used?
- Energy consumption of camera and streaming equipment in kilowatts (kW), if known.
- Number of preparation hours/camera rehearsal hours with the camera switched on.
- Power consumption for post-production.
- How many hours has equipment been running for post-production/editing of audio and/or video?
Equipment for home viewers
- If known: breakdown of viewers by TV, Smartphone, Laptop, or a combination of devices.
Comments field
Is there specific information that influences the CO2e emissions of the location or the performance?

NB: The tool focuses on CO2 emissions directly related to a performance. Catering, bar, ticketing, rehearsals, waste processing, marketing efforts, and hardware production are not included in this tool. Additionally, the number of 'co-viewers' online and the possibility that visitors to a festival may attend multiple performances in the same city are not accounted for in this version.
